Pattrn Limited (“Pattrn” “we”, “us” or “our”) is the controller and responsible for your personal data. Data we collect about you

Personal data, or personal information, means any information about an individual from which that person can be identified. It does not include data where the identity has been removed (anonymous data). We may collect, use, store and transfer different kinds of personal data about you which we have grouped together as follows:

    Includes details about payments to and from you and other details of services we have provided you with.

How is your personal data collected?

We use different methods to collect data about you including, through direct interaction with you. You may give us your Identity, Contact, Transaction and Financial Data by filling in forms or by corresponding with us by post, phone, email or otherwise. This includes personal data you provide when you: request our services; subscribe to our publications; request marketing information to be sent to you; or give us some feedback. We may in some cases consult credit reference agencies in order to assess your creditworthiness.

How we use your personal data

We will only use your personal data when the law allows us to. Most commonly, we will use your personal data where we need to perform the contract we are about to enter into or have entered into with you, where it is necessary for our legitimate interests (or those of a third party) and your interests and fundamental rights do not override those interests and where we need to comply with a legal or regulatory obligation.

Purposes for which we will use your personal data

Note that we may process your personal data for more than one lawful ground depending on the specific purpose for which we are using your data.

We will process personal data:

As necessary for the performance of our contract with you when providing you with services

  • To manage and perform the contract;
  • To allow you access to our platforms and share documents as necessary.
  • The sharing of information through the client portal will be limited to your dedicated service teams within Pattrn. This means that other teams within Pattrn may have access to your details and all documents contained therein.
  • To issue written or electronic communications that we feel are an important extension to the service we provide.
  • To update our records including communication preference data; and
  • To trace your whereabouts and recover any debt.

As necessary for our own legitimate interests:

  • For good governance, accounting, and managing and auditing our business operations;
  • To monitor emails, calls, other communications and activities;
  • To share identity and contact data to make introductions to other entities as requested by you
  • To search at credit reference agencies;

As necessary to comply with a legal obligation:

  • When you exercise your rights under data protection law and make requests;
  • For compliance with legal and regulatory requirements, requests and related disclosures;
  • For activities relating to the prevention, detection and investigation of crime;
  • To verify your identity, make fraud prevention and anti-money laundering checks; and
  • To monitor emails, calls, other communications and activities relating to our agreement.

Based on your consent:

  • Share your data internally, so we are able to deliver the additional services we may include in our service proposition which is a core benefit of being a Pattrn Client
  • When you request the disclosure of your personal data to other people or organisations outside of the Pattrn Limited;

Promotional offers from us

We may use your Identity, Contact, Technical and Usage Data to form a view on what we think you may want or need, or what may be of interest to you. This is how we decide which services may be relevant for you. You will receive marketing communications from us if you have so requested or purchased services from us and you have elected to receive marketing communications.

Opting out

You can ask us to stop sending you marketing material or withdraw your consent to the sharing of your data at any time by emailing: info@pattrnstudios.com.

Change of purpose

We will only use your personal data for the purposes for which we collected it, unless we reasonably consider that we need to use it for another reason and that reason is compatible with the original purpose. If we need to use your personal data for an unrelated purpose, we will notify you and we will explain the legal basis which allows us to do so. Please note that we may process your personal data without your knowledge or consent, in compliance with the above rules, where this is required or permitted by law.

Data security

We have put in place appropriate security measures to prevent your personal data from being accidentally lost, used, or accessed in an unauthorised way, altered, or disclosed. In addition, we limit access to your personal data to those employees, agents, contractors and other third parties who have a business need to know. They will only process your personal data on our instructions and are subject to a duty of confidentiality. We have also put in place procedures to deal with any suspected personal data breach and will notify you and any applicable regulator of a breach where we are legally required to do so.

Data retention

How long will you use my personal data for?

We will only retain your personal data for as long as necessary to fulfil the purposes we collected it for, including for the purposes of satisfying any legal, accounting, or reporting requirements. We retain all information relating to your file (including Contact, Identity, Financial and Transaction Data) for a period of ten years from the date of conclusion or longer if necessary, for regulatory purposes. In some circumstances we may anonymise your personal data (so that it can no longer be associated with you) for research or statistical purposes in which case we may use this information indefinitely without further notice to you.
